1. Import Keywords Into Keyword Pad

You can add keywords into Keyword Pad by using the Add or Import buttons. If you have a text file containing the keywords, simply use the import button. Make sure that the text file contains each keyword phrase in a separate line.

2. Delete Duplicates and Unwanted Keywords

The next step is to get rid of unwanted keyword phrases. First select the Delete > Duplicate Entries option to remove any duplicates.

Now use one more more of the options under the Delete button to remove unwanted entries. Here are some examples of what you can do

  • Remove all entries that contain more than 5 words
  • Remove all one word entries
  • Remove all entries that contain a specific word
  • Remove all entries that contains a specific word at the end

You can also remove unwanted punctuations and characters from the list using the options under the Clean button. For example, you can remove all repeated spaces, or quotation or question marks, etc.

In the end, use the duplicate removal option again to remove new duplicates that may have formed while cleaning the keyword entries.

3. Find Keywords Containing Specific Phrases and Export Them

The Highlight button contains a number of options to highlight keywords containing the terms you specify. For example, if you list is about web hosting, you may want to group all the dedicated hosting related terms together. Use the Highlight > Entries That Contain > Word Anywhere and type in words that are related to dedicated hosting. These may include words like dedicated, enterprise hosting, etc and even names of companies that are known to provide only dedicated hosting.

Once the corresponding entries are highlighted, use the Export > Highlighted words to text file option to save the selected keyword phrases in a separate text file.

4. Remove the Exported Keywords from Main List

If your intention is to organize and split a large keyword list into independent smaller sets for PPC advertising (eg. Google Adwords) you wouldn't want the same keyword phrase in two lists. You can use the Delete > Only Highlighted Entries option to delete the highlighted entries before starting over from step-3.
