One of the smartest things we did recently was to automatically start archiving all the business emails we get and respond to.

As already mentioned in another post, we use a separate provider (Mailtrust.Com) for handling our emails. They offer a handy feature called BCC archiving. What this does is, automatically forward all the emails (minus the SPAM) that go through the specified domain into a separate email account kept for archiving purpose.

We no longer need to bother about backing up any of the emails. Some one with access can now use a web interface to login to the archive email account and find older emails and even respond to an older email if required. Mailtrust also offers monthly (or one-off) DVD mailings containing the archived data.

This simplifies a lot of things. You can have different people responding to emails from their own systems but everything that is communicated through email is always archived automatically at an off-site location!

Takes away a lot of headaches and ensures a quick disaster recovery for your email data. Think about implementing something similar. The BCC archiving feature from Mailtrust is not expensive either. You can also find other providers for email archiving.
